Products: Serial Number Stock Control

Brightpearl will allow you to manage stock down to a serial-number level. If a product is set to require serial numbers, it is treated differently from other products in Brightpearl. When you receive stock for these items, you need to define a unique serial number for each item. When you sell a product that requires a serial number, you have to assign one of your "in stock" serial numbers before you can close the order and post it to accounts/update stock.

You can park a product with a serial number onto an order (without posting to accounts) and leave it there so that no other orders can use the same product. This could be used for tracking off-site locations of items before you sell them.

Setting up

For each product that has serial numbers, you will need to set the option "Serial number required" to yes in the product edit screen. Make sure that you have also set "Manage stock quantities" to yes.

Adding items to stock

The only way to add serial number items to the system is from a Purchase Order. Items are added to the order as normal. The serial number is not required until you receive the items into stock. This is the point at which you would copy the serial numbers onto Brightpearl. 

Click "receive stock" as normal once in the Purchase Order edit screen. For the items where serial numbers are enabled, you will see an extra box into which you can enter the serial numbers.

Removing items from stock

The only way to remove serial-tracked items from stock is using a Sales Order. The item is removed from stock when the sale is posted to accounts, or when the "update stock" button is pressed.

Add the item to the order as you would normally for any other items, using the "add item" link in the Order edit screen.

If a Sales Order contains items that require a serial number, you will not be able to post to accounts or update stock until each of the items on the order has been allocated a serial number.

Allocating certain serial numbers to customers/orders

You can allocate any one of your products with a serial number to an order. For each item on the order that requires a serial number you will be given a drop down menu to choose a serial number from any of those already in stock.

No two items can use the same serial number.

Moving stock between locations

Moving stock with serial numbers is the same as moving standard stock. Open the Products - Stock - Stock report screen, find the item and click the "move" button.

Changing and correcting serial numbers

Please contact Brightpearl support if you wish to correct a serial number that you have entered.

Checking to see which serial numbers are allocated

To see which of your products with serial numbers are on orders [that have not yet had stock updated] - click Products - Stock - Stock report and find the product using the options at the top.
